1. The controller

2. What data we process

The data depends on what you actually do on the site. Simply browsing does not involve completing any form.

a) Data you enter into a form

• first and last name;
• email address;
• phone number;
• company and, if you choose to provide it, job title;
• a description of your project or request, including your answers to the questions in the assessment forms (flow type, load unit, number of shifts, time horizon and similar);
• your free-text message, if you write one.

Please do not include sensitive data in your message unless it is necessary for your request.

b) Technical context of the request

• the address and title of the page from which you submitted the form;
• ordinary technical data generated when a website is accessed, such as IP address and browser information, processed by our infrastructure providers to deliver and secure the site.

c) Campaign data — only with Marketing consent

• the utm_* campaign parameters from the address through which you reached the site;
• advertising click identifiers: gclid (Google), fbclid (Meta), li_fat_id (LinkedIn);
• the first and the most recent source that brought you to the site, together with the landing page;
• the HubSpot visitor identifier (hubspotutk), where one exists.

Without Marketing consent, this data is not retained and is not attached to form submissions. Full technical detail is in the Cookie policy.

d) Site usage data — only with Analytics consent

Audience statistics collected through Google Analytics: pages visited, events such as a form being shown or submitted, and basic technical context. Without Analytics consent, this data is not collected.

3. Purposes of processing

The purposes are distinct and do not substitute for one another:

• Responding to your request — reviewing the enquiry you submitted, contacting you, and the commercial discussion that follows from it.
• Delivering the material you asked for — sending the guide, checklist or document you explicitly requested.
• Newsletter subscription — only if you submitted the subscription form yourself. It is a separate request, never a by-product of another action.
• Analysing site usage — on the basis of consent for the Analytics category.
• Measuring campaigns and attributing source — on the basis of consent for the Marketing category.
• Managing consent — storing your cookie choice so that you are not asked on every page and so that a refusal can be honoured.
• Operating and securing the site — delivering pages, processing form submissions technically, and protecting against automated submissions.

Analysing site usage and measuring campaigns are carried out solely on the basis of your consent, given through the Analytics and Marketing categories. Without that consent, those activities do not take place at all. Likewise, newsletter subscription happens only at your explicit request.

The remaining purposes — reviewing and answering your request, delivering the material you asked for, and operating and securing the site — rely, as applicable, on steps taken prior to entering into a contract and on the performance of a contract, on our legitimate interests in managing communications and commercial activity, or on legal obligations.

4. Forms work independently of optional consent

Refusing Analytics or Marketing cookies does not block any action on the site. Every form — enquiry, downloadable material, flow assessment, online checklist and newsletter subscription — remains visible and functional, and your request is processed normally.

Optional consent affects only the additional information attached to the request: without Marketing consent we do not transmit the HubSpot visitor identifier and we do not transmit campaign data. What you filled in yourself reaches us in every case.

In other words: submitting a form is something you asked for; optional tracking is a separate permission, and the second does not condition the first.

5. Recipients

Data may be accessed or processed, strictly to the extent necessary, by:

• authorised personnel of Novomatix Integrated Systems;
• HubSpot — the platform through which we receive and manage form submissions and the newsletter list. The site's forms transmit your request to HubSpot through our servers regardless of your cookie choices, because this is how your request actually reaches us;
• Google — for site usage analysis and campaign measurement, only within the limits of the consent you have given;
• Cloudflare — hosting the site and running the functions that process form submissions;
• other IT, maintenance and security service providers, where necessary;
• public authorities, where there is a legal obligation.

We do not sell your personal data.

These providers are globally operating companies, so data may be processed outside Romania. Each of them processes data under its own terms and privacy policies, which you can consult directly at source.

6. Retention

We keep data only for as long as necessary for the purpose it was collected for and, where applicable, to comply with legal obligations or to defend our rights.

For information stored in your browser the position is technically determined, and we state it exactly:

• session campaign data (nvm_utm_last) is gone when the browser closes;
• your consent choice (nvm_consent) and the first recorded source (nvm_utm_first) have no expiry set in the site's code; nvm_utm_first is deleted when Marketing consent is withdrawn, and both can be cleared by you at any time from your browser settings.

For data held in our providers' platforms, the retention period is determined by how those platforms are configured and by the providers' own policies. We do not publish exact durations here that we cannot support factually; if you want to know how long we keep a particular record about you, write to us and we will answer specifically.

7. Your rights

Under the conditions provided by law, you may request:

• access to your data;
• rectification of inaccurate data;
• erasure, where applicable;
• restriction of processing;
• to object to processing, in certain situations;
• data portability, where applicable.

Where processing is based on your consent, you may withdraw it at any time, without affecting the lawfulness of processing carried out before withdrawal. Cookie choices can be changed directly from the Cookie settings link in the footer of every page.

Where data is used for direct marketing, you have the right to object at any time. Unsubscribing from the newsletter is done through the link in every email and is independent of your cookie choices.
